The USF St. Petersburg Audio Visual support team is committed to guaranteeing the success of campus events held in our St. Petersburg campus classrooms and supported conference rooms. Whether you're hosting a lecture, presentation, workshop, or any special event, our team is here to make your technical needs a breeze.
Our Services
At USF St. Petersburg, we understand the importance of seamless AV solutions to deliver successful events. Our team offers a range of services to support your needs:
1) Classroom and Conference Room AV Setup:
We will set up and configure AV equipment in classrooms and conference rooms to ensure everything is ready for your event.

2) Technical Support:
Our skilled technicians will be on-site to assist with equipment operation, troubleshooting, and ensuring your event runs smoothly.
3) Hybrid Meetings & Event Recording:
Some classrooms and conference rooms have the ability to host hybrid events that can be recorded using the preferred Unified Communications (UC) System (e.g. Microsoft Teams, Zoom). Our classroom and conference room technology UC standard is Microsoft Teams. Our team can help you determine which classroom or conference room will best meet your needs (if you have the ability to select from multiple locations for your event).
4) Conference Rooms:
We currently provide support in the following conference rooms for AV setup:
- LPH 415 Boardroom
- BAY 220 Chancellor's Conference Room
- BAY 205
- DAV 214
- DAV 247
- SLC 2100
- LPH 418 Flex Space
Please note that AV Services does not handle conference room bookings. Please contact the appropriate department to reserve the room for your event.
5) Billing Information:
Please note that our AV support services for events that are held outside of scheduled classes are billable. Contact us to discuss our pricing structure, which is tailored to the scope and duration of your event.
AV Services can only be billed to USF departments. We are unable to directly bill outside entities. For events involving external groups, the hosting department will be responsible for the billing. The AV Equipment & Services Request Form must be submitted by the USF department prior to the event and it must include their chartfield and approver signature for interdepartmental billing.
Event Services Disclaimer
All AV event bookings are scheduled in 4-hour time blocks. Please note that the minimum support cost for an event during normal business hours is $200, which typically covers the setup, event start, and tear-down of the event. If the event extends beyond normal business hours and requires after-hours tear-down, we will bill for AV support labor for the entire duration of the event, as the AV technician will need to remain on-site to complete the tear-down. Additional charges will apply if additional hours or after-hours support is required. Normal business hours are Monday-Friday, 8 AM - 5 PM.
Booking AV Services doesn't guarantee continuous on-site presence by the AV technician throughout the full 4-hour block. While the technician will be available for initial setup, event start, and tear-down, they may not be stationed in the event space during the entire booking. Should additional support be needed during the event, the technician can be contacted and will return as available, depending on other ongoing departmental priorities.
Please plan accordingly, as our staff must also remain available for classroom support and other scheduled events.
How to Request Our Services
Requesting AV support for your event is easy. Simply fill out our AV Services Request Form and email it to stp-av@usf.edu. For Event Support Services please check the "Event Support Services" request type on the form. Include the details of the event and we will reach out to you to discuss your requirements and provide a cost estimate.

Reserving Classrooms
AV Services is unable to reserve classrooms. Please contact Academic Space & Course Management to reserve a classroom for your event.
Reserving Conference Rooms
AV Services is unable to reserve conference rooms. Please work with the college or department hosting the event to reserve a conference room for your event.
